Purpose

Funds Administration organisation, providing a dynamic range of products and services is seeking an Executive Assistant who will be responsible for handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision, able to interact with all staff, clients and business partners on a professional and confidential basis

Minimum Requirements

  • Matric Certificate
  • Computer literacy skills on MS Office, MS Excel, PowerPoint and Access
  • A Commercial qualification, Bachelor of Commerce or Business Management Studies
  • Chartered Secretary Certificate (advantageous)
  • Must have 5 years in a similar role

Key Job Outputs:

  • Manage the diaries of both the CEO and COO effectively requiring interaction with both internal and external executives and assistants
  • Maintenance of a calendar of significant matters to be attended to by the office of the CEO and COO
  • Screening and logging of calls, client enquiries whether telephonic or by
  • email for resolution by the COO, CEO or the relevant company personnel
  • Scheduling meetings such as EXCO, Board and management meetings
  • Prepare, co-ordinate and distribute agenda packs and minutes
  • Assist the CEO and COO with consolidating, analysing and summarising management and other reports when required
  • Complete ad-hoc assignments as determined from time to time
  • Ensure that travel and accommodation arrangements are done timeously and on a cost-effective basis
  • Maintain a filing system in an organised, efficient and accessible manner
  • Prepare for meetings, including venues and ensure that all equipment is in working condition
  • Attend to stationery requirements of the department
  • Possess good typing skills, with knowledge of MS Office
